Google Sheets

Other

Your contacts in a Google Sheet that updates itself both ways, and the customers of your own sheets imported into SendApp.

What the app does

  • SendApp's sheet: SendApp creates the sheet "SendApp Contacts" in your Google Drive with your contacts and keeps it up to date by itself. You choose the columns and their order: contact details, next and last appointment, stage, assigned operator, custom fields.
  • Both ways: if you change a name, an email, a birthday, the tags or a custom field in the sheet, the change comes back to SendApp. A new row with a phone or an email becomes a contact.
  • Import from your sheet: already keep your customers in a Google Sheet? Choose it from your Google Drive: every row with a phone or an email becomes a contact, with no duplicates. SendApp only reads it and never writes in it.
  • How often: the sheet updates itself every 15 minutes, every 30 minutes or every hour, as you choose. With Sync now you update it at once.
  • New contacts from the sheet: give a tag to every contact that is born from a row of the sheet, and use it in Automations to send it a message as soon as it arrives.

How to connect

  1. In SendApp open Apps and press Configure on Google Sheets.
  2. Press Connect with Google and choose your Google account: Google asks you to authorize SendApp, there is nothing to copy.
  3. Done: SendApp creates the sheet "SendApp Contacts" in your Google Drive and fills it with your contacts at once. Open it with Open the sheet.

The app's page has three tabs: SendApp's sheet, Import from your sheet and Options.

SendApp's sheet

  • In Columns of the sheet add the columns you need with Add a column, move them or remove them (up to 40). The Preview next to it shows the first rows as they will look in the sheet. Then press Save and update the sheet.
  • The columns marked Also changed from the sheet (name, email, birthday, tags, custom fields) come back to SendApp when you change them in the sheet. The columns marked Filled in by SendApp (appointments, stage, assigned to, last message and the like) are written by SendApp only: if you change them in the sheet, at the next round they go back to what is in SendApp.
  • To add a contact, type a new row with the phone or the email and leave the ID column empty. A row with neither a phone nor an email stays in the sheet, and the page tells you what is missing.
  • The phone of a contact that already exists cannot be changed from the sheet: the phone column is only used for new contacts.
  • Leave the ID column as it is: it links the row to the contact. You can move the other columns: SendApp recognises them by their title.
  • If the same detail changes both in SendApp and in the sheet, SendApp's value is kept and the page tells you so.

Import from your sheet

  1. Open the Import from your sheet tab and press Choose a sheet from your Google Drive. Google's window opens: choose the sheet. If the window does not open, check that your browser allows pop-ups.
  2. The first row of the sheet needs the column titles (for example Name, Phone, Email). SendApp recognises them by itself and suggests the pairs in Pair the columns of your sheet: for each column you see an example and choose the Field in SendApp, or Do not import. At least the phone column or the email column is needed.
  3. If the sheet has more than one tab, choose the right one. In Dates in your sheet choose how the dates are written: day, month, year; month, day, year; or year, month, day.
  4. Press Link and import: the rows become contacts at once. Then, at every sync, the new or changed rows come in.
  • You can pair: name (or first and last name apart, if you use them), phone, email, birthday, tags and your custom fields.
  • No duplicates: a row with the phone or the email of a contact you already have completes that contact. SendApp fills in only the details that are still empty and adds the tags; what is already in SendApp is not overwritten, even if you change the row.
  • The rows already in the sheet when you link it become contacts without starting any automation. The rows you add afterwards start your automations, like any new contact.
  • SendApp reads one sheet of yours at a time, up to 20,000 rows. With Change the columns you redo the pairs; with Stop reading this sheet you unlink it: the sheet and the contacts already created stay as they are.
  • Have a CSV file? Open it with Google Sheets first, or import it in Contacts.

Options

  • Automatic and How often (at the top of the page): switch on the automatic update and choose Every 15 minutes, Every 30 minutes or Every hour. If you switch it off, the sheet updates only when you press Sync now.
  • Date format: how SendApp's sheet writes the dates.
  • Order of the rows: first added first, last added first, by name, by next appointment or by last message.
  • Which contacts: All contacts, or Only contacts with these tags (one of them is enough). In that case a row you add in the sheet stays there only if the new contact has one of those tags.
  • For these three choices press Save and update the sheet.
  • New contacts from the sheet: type a tag, it is saved by itself. Every contact that is born from a row of a sheet (yours or SendApp's) gets this tag; a contact that was already there does not. To send a message when one arrives, create an automation with the trigger Tag / list and choose this tag. Leave the field empty to give no tag.

Good to know

  • Deleting a row never deletes the contact: at the next round the row comes back in the sheet. If instead you delete a contact in SendApp, its row disappears from the sheet.
  • Put your own notes and formulas in another tab: SendApp only writes in its own.
  • SendApp opens only the sheet it creates and the sheets you choose: never the rest of your Google Drive.
  • If you have reached your plan's contact limit, the extra rows do not become contacts: they stay in the sheet and the page points them out.
  • Create a new spreadsheet (in the three-dot menu) makes a new sheet and keeps that one updated: the old one stays in your Google Drive but is no longer updated.
  • Disconnect stops the updates: the sheet stays in your Google Drive and the columns you chose stay ready for when you connect again. If the page shows Action needed, follow the notice: often Connect again is enough.
  • The app is set up from the account owner's login: operators do not see this page.
  • The app is included only in some SendApp plans: check the Apps included in your plan.
